AIA NORTHWEST & PACIFIC REGION  BOARD MEETING MINUTES

Wednesday, March 5, 2003
OCCIDENTAL GRILL, WASHINGTON D.C.

Call to Order 
 

The meeting was called to order by Director John Baker, AIA, at 7:55 p.m.  In addition to Directors John Baker and Norm Strong, Board Members present were: Jessica Cedarberg, AIA Alaska; Dan Tan and Vincent E. Sablan, AIA Gaum/Micronesia; William Lim and Peter Basmajian, AIA Hong Kong; John Fullmer and David Kaahaaina, AIA Honolulu; Kevin Bodily, AIA Idaho; Peter Anderson, AIA Idaho Eastern section; Thomas Rixon, AIA Idaho Mountain Section; Daniel Mullen, AIA Idaho Northern Section, Clark Llwellyn, AIA Montana; Kimberly Olsen and Lisa Sukut, Billings Architectural Section ; Lon Whelchel, AIA Maui; Greg Robinson, AIA Northwest Washington; Amy Miller Dowell and Rich Mitchell, AIA Portland; Kristen Scott, AIA Seattle; Ron Thomas and Tom Sanford, AIA Southwest Washington; Gregory Brokaw and Richard Shugar, AIA Southwestern Oregon; Charles Horgan, AIA Spokane; Mark Bottemiller, AIA Vancouver; Steve Thomson and Jonathan Stafford, AIA Oregon; and Henry Sorenson, Associate member.
CACE members in attendance were Connie Searles of AIA Idaho, Saundra Stevens of AIA Oregon and AIA Portland, Marga Rose Hancock of AIA Seattle, and Mary Mauerman of AIA Northwest & Pacific Region and AIA Washington Council.
Guests were Genevieve V. Holubik, AIA Alaska; Steve Searles, AIA Idaho; William Grant, AIA Montana; Rick Sukut, Billings Architectural Association; Bruce Blackmer, AIA Spokane; and Barry Baker and Daniel Chun, AIA Hawaii.

Consent Agenda

John Baker reviewed the Consent Agenda, consisting of the Minutes of the August Board meeting, the proposed 2003-2004 Budget and committee reports.  It was M/S/C to adopt the Consent Agenda.

Introductions/Quorum Verification

Attendees introduced themselves and it was determined that a quorum was present.

Conference Reports

AIA Southwest Washington in ‘02

President Ron Thomas gave a report on the “A02” Conference, pronouncing it a huge success.  They had 160 people registered and 80 local volunteers to help with the event.  They made a profit of $7,000.  They were pleased with the breadth of participation and feel the real legacy the Chapter received from the Conference is the higher level of volunteerism.

AIA Portland in ‘03

Chapter Executive Saundra Stevens reported on plans for the ’03 Conference in Portland.  They are planning a “green” trade show in the newest section of the Portland Convention Center.  There will be a “Call for Presentations” going out to components to showcase what all is going on in the Region.  Their web site will launch shortly.

Montana in ‘04

President Clark Llwellyn pitched the 2004 Conference at Big Sky, Montana.  Their conference will look at the past as well as the future.

Seattle in ‘05

Chapter Executive Marga Rose Hancock announced the 2005 Conference is Seattle, in conjunction with the 111th Anniversary of AIA Washington/AIA Seattle.  There will be a “virtual” element involved with their conference.

Regional Associate Director

Norm Strong introduced Henry Sorenson, Assoc. Member, who was sitting in for Board member Lisa Schneider.  Henry spoke briefly about preparing to follow Lisa into the position in 2004.  He feels it is beneficial to have been appointed this far ahead of his term so that he can “shadow” his predecessor and learn important information.

Business Items

Program Restructure

John Baker reviewed the Proposed Restructuring Model, drafted by the Directors earlier in the year and sent to Board members in early February.  Norm emphasized that the proposal identifies the goal of the Region as, “Develop and elect leaders for AIA National service.”  Clark Llwellyn objected to the fact that neither students nor faculty were being represented on the Leadership Development Team.  Ron Thomas responded by saying that students and faculty should be involved at the local chapter level.  Bruce Blackmer commented that participating on Region Committees also develops leaders.

General consensus among the Board members was that the proposal has merit and should be pursued.

Release of Member E-mail Addresses

Saundra Stevens announced their intention of using member e-mails as a tool for promoting their Conference.  She asked if anyone had any objection:  none did.

Directors’ Dialogue

Norm asked how many had visited National’s web site or the Region’s web site, then how many components have web sites of their own.  He then asked what Board members feel they need to know.  Most responded that they get too much e-mail, but that titles clearly identifying the content of the message would help.  National gives members the option of not having their e-mail addresses released when they first apply for membership.  That option is not offered for renewing members.

A lot of discussion centered on reaching all members, even those without e-mail.  It was agreed that Board members should receive information via e-mail.  Most Board members feel that the Regional web site should be reached by links from local chapters. 

Clark asked that Chapters that host Conferences archive their planning information to help future Conference planners.

Norm gave a pitch for the knowledge agenda being promoted by National.  Bruce pointed out that there are about seventy participants at Grassroots this year that came as members of Knowledge Communities.

Announcements/Adjournment

Norm encouraged everyone to attend the Institute Open House the next night.

Bruce asked for and received recognition of Miller/Hull, the 2003 Firm of the Year Award winner.

John reminded component presidents to turn their Component Reports over to Mary following the meeting.

The meeting was adjourned at 9:50 p.m.
